FOR TRUSTEES AND BOARDS

Keep the board connected.
In a channel your organisation owns.

One familiar place for trustees and governors to discuss the papers and share documents between meetings – in the app or a browser.

No Microsoft account needed. Start free with up to 25 people: one private group channel and three calendar months of history, with no Microsoft 365 archive. On a connected paid plan, conversations file into your organisation’s own Microsoft 365, under your retention rules. The walkthrough is ten minutes in a real channel, on your own phone.

BETWEEN MEETINGS

The board meets a few times a year.
The conversation carries on.

A question about the accounts arrives by email the night before. A group on a consumer app fills up with views on the papers. The chair and the clerk swap messages on their own phones. It is how busy volunteers keep things moving, and most of it is perfectly sensible.

The harder part comes later: when a trustee steps down with the history on their phone, or when someone asks what was said and where it is now.

HOW IT FITS TOGETHER

Members talk.
Paid plans keep the record.

Trustees join from their own phone, tablet or computer. The clerk or governance lead keeps up from a phone or a laptop.

Core messages are stored and processed in the UK; some supporting services process elsewhere (service providers and locations). Filing into Microsoft 365 starts once your paid archive is connected. See how it works in full.

WHAT CHANGES

Simple for volunteers.
Steady when the board changes.

Familiar for every member

Messages, voice notes, photos and documents, on a phone or a laptop. A trustee’s phone number stays private from other members.

Updates people acknowledge

Ask everyone to acknowledge an important update. A task asks named people to do something and records whether they did.

Access you control

On paid plans, administrators can see who added or approved each member, and can withdraw any join link at any time.

A record that outlasts the board

On a connected paid plan, conversations file into your organisation’s own Microsoft 365, not one person’s phone.

AN EVERYDAY EXAMPLE

A question before Thursday.
Settled before the meeting.

David, a trustee, checks a figure in the papers from his phone the evening before a meeting. Hannah, the clerk, replies in the board’s channel from her laptop. The decision itself is still taken, and minuted, at the meeting.

Are the revised reserves figures in the papers for Thursday, or coming separately?

They’re on page 4 of the papers sent on Monday. I’ll let the treasurer know your question.

GETTING STARTED

Start with the board.
Add committees later.

Tell us how your board works. We’ll help you choose where to begin.

01

Try it with a few colleagues.

Start free with up to 25 people to see how it feels. Free is for personal use and evaluating the app, not the board’s record: its history expires after three calendar months.

02

Choose your channels.

Foundation’s two channels could be one for the full board and one for a committee. Governance includes 10 channels.

03

Connect your Microsoft 365.

Your Global Admin runs the install, and you approve the wording people are shown.

04

Invite members as they join.

Each texted invitation works only for the person it was sent to. When a trustee steps down, remove them – the questions below say what that does.

QUESTIONS FROM BOARDS

A few things
worth knowing.

Read our guide to decisions between meetings Or ask for the one-page trustee briefing
Is this a board portal?

No. ComplyChat is for the conversation between meetings: questions, updates and shared documents. It does not provide board packs, agendas, minutes, registers of interests or e-voting, so keep using whatever you already rely on for those.

Can the board take decisions in a chat?

A chat is not a set of minutes or a formal resolution. Your governing document and your own procedures decide how the board takes and records its decisions. ComplyChat holds the conversation around them, and on a connected paid plan files it into your own Microsoft 365.

Do trustees need a Microsoft account or an app?

No. Trustees and governors can use ComplyChat in a browser, or get the app for iPhone, iPad or Android. People joining a conversation need no Microsoft account.

Can other members see my phone number?

No. Your phone number stays private from other members, who see you by name. On paid plans, your organisation’s administrators can see members’ numbers in the client portal, to manage who belongs.

What happens when a trustee steps down?

On paid plans, removing someone from your organisation also signs them out and removes their passkeys. Someone an administrator or channel admin removes is asked to wait for approval instead of rejoining through a link. On a connected paid plan, the conversations already filed stay in your organisation’s Microsoft 365, under your retention rules.

Can we start on Free?

Yes, to try it. Free is for personal use and evaluating the app rather than your organisation’s lasting record: it has no Microsoft 365 archive, and upgrading cannot restore expired history.
